❗ IMPORTANT INFORMATION❗ (Please read carefully)

Games at the Gate is a school holiday multi-sports and activities camp. We are not a registered childcare provider and therefore cannot accept Government Tax-Free Childcare vouchers as payment.

PAYMENTS
Payment must be made at the time of booking unless you feel you may be eligible for one of our discounts listed below. In this case, please email gamesatthegate@hotmail.com before making payment to discuss this with us. Failure to make payment on time may result in your child being unable to attend camp.
Alternative payment arrangements may be available subject to discussion and agreement with Gavin or a member of the Games at the Gate team.

If you feel you may be eligible for a discount, please contact us as soon as possible before making payment.

PAYMENT METHODS
Payment can be made via:

If paying by bank transfer, please use your child’s name and “Sum Camp” as the payment reference.

CAMP CANCELLATION POLICY
We require a minimum of 48 hours’ notice for any cancellations. Unfortunately, after this time we are unable to offer refunds due to staffing and activity arrangements already being in place.
Please note that if your child does not attend camp without the required notice, the full payment will still be due.

EMERGENCY CONTACT & PHOTO PERMISSIONS
Please ensure your child’s emergency contact details and photo permissions are up to date before attending camp.

MOBILE PHONES , SMART WATCHES & ELECTRONIC DEVICES
Games at the Gate cannot accept responsibility for lost or damaged electronic items. We therefore ask that these items are left at home wherever possible.
If your child needs to bring a phone or smart watch to camp, please inform Gavin on arrival. Devices must remain in the child’s bag and may only be used in exceptional circumstances and with prior agreement from Gavin.
Parents must not attempt to contact their child directly during camp hours via mobile phone, smart watch, or other electronic devices. All communication should go through Gavin or Ami to avoid disruption to activities and to support safeguarding procedures.

Children should not contact parents directly during activities unless prior agreement has been discussed with Gavin.

PHOTOGRAPHY POLICY
Unauthorised photography is not permitted at camp. This includes:
Parents taking photos within activity areas.
If any child is found to have taken photos or videos of another using phones, smart watches, or other electronic devices, staff reserve the right to request that those images/videos are deleted immediately while a staff member is present.

TOYS FROM HOME
We ask that toys are not brought to camp unless deemed essential. Games at the Gate cannot accept responsibility for any loss or damage to personal belongings.

LUNCHTIME ACTIVITIES
Due to the energetic nature of some of our activities, a U-rated movie (BBFC classification) may be shown during lunchtime to allow children time to rest and recharge in a calm environment.
If you would prefer your child not to watch movies, or not to watch specific movies, please inform Gavin or Ami on arrival or contact us beforehand. An alternative quiet activity can be arranged.

LOST PROPERTY
Due to limited storage space, lost property will only be kept until 5:30pm on the final day of camp unless prior arrangements have been made.

DROP-OFF & COLLECTION
Whilst we appreciate some children may take time to settle, we are unfortunately unable to accommodate parents remaining in any area of the building during camp.
If there are any issues with your child during the day, we will contact you immediately. Please ensure emergency contact details are correct before attending.

If your child is being collected by someone different, or if there is anything else we should know, please text or call Ami on 07742 779 564.

ITEMS REQUIRED FOR CAMP
All children should attend with:
▪️ Packed lunch & snacks for break time
(Required for full-day bookings and recommended for half-day bookings.)
Please note: At break time, children will be asked to choose one smaller snack item to avoid them eating their full / main lunch too early.
▪️ A full, refillable water bottle
▪️ A full change of clothing
▪️ Sunscreen
(Please apply before arrival and provide additional sunscreen for reapplication if required.)
▪️ Any required medical items (e.g. inhalers, EpiPens etc.)
Please hand these items directly to Gavin on arrival. For health and safety reasons, medical items must not remain in children’s bags.
